My client is made up of a group of professional design and consultancy practices. They have around 60 engineers, architects, designers, and strategists and are a Social Enterprise, B Corp™ and Employee Benefit Organisation. My client is looking for a well organised and experienced Bid Coordinator to manage a variety of complex bid proposals. You will be working closely with the Business Development team and the wider business, ensuring processes are followed to deliver high quality bids.

Job Description

Bid Coordinator Job, London

You will be the main point of contact for all teams contributing to proposals. From bid kick off meetings, contributing to strategies and collating appropriate information, to managing bid budgets and programmes, assisting writing proposals and ensuring they are produced and delivered on time. You will play a key role in winning new business.

Role & Responsibilities:

  • Manage the end-to-end bid process, including PQQs, ITTs, RFPs and any relevant frameworks.
  • Ensure the collation and timely delivery of all information/documentation at each stage
  • Proofreading proposals and ensuring content and language appropriate for different readers
  • Create the final design and then issue of any documentation
  • Work closely with Bid teams throughout, assisting in identifying win strategies
  • Liaise with clients and consultants including multidisciplinary teams
  • Ensure all standard bid documentation is kept up to date and filed appropriately
  • Manage pipeline report for the Business Development Group
  • Updating the CRM
  • Attending and minuting relevant meetings as required
  • Researching opportunities and assisting with bid/no bid decisions and approach
  • Other relevant duties as required

Ideal Candidate:

  • Previous experience as a bid coordinator or similar role within engineering, architecture, contracting, built environment
  • Significant experience working on complex bids including frameworks, and completing PQQs, RFPs and ITTs
  • Management of CRM database including bid outcomes, project fee target reports and contacts
  • Exceptional verbal and written communication, copywriting and proofreading skills
  • Excellent research skills
  • Superior organisational skills
  • Ability to multi-task managing multiple bids at one time working in a fast-paced environment
  • Strong IT skills – InDesign experience is essential and proficiency on the MS Suite including Outlook, PowerPoint, Excel, Word
  • An ability to maintain confidentiality with all company information and materials
