A fantastic opportunity to join a leading Managing Agent based in London has arisen for a Facilities Coordinator. The successful candidate will Support the FM and property management team across a growing Build to Rent portfolio to ensure H&S compliance / standards are met.

As the Facilities Coordinator you will have excellent communication skills, strong time management and the ability to prioritise your own workload.

Key Responsibilities

  • Uploading information and certificates to the data compliance system
  • Liaising with contractors to obtain quotes, organising surveys and arranging reactive repairs
  • Raising jobs on the maintenance system for jobs to be attended
  • Uploading energy data onto the sustainability system
  • Liaising with site managers regarding issues on their site
  • Chasing contractors regarding SLA’s and quote requests
  • Attending weekly compliance meetings to give feedback regarding outstanding actions etc
  • Liaising with building developers regarding defect issues, O&M’s and missing documentation
  • Quote comparisons summited to property manager / FM for feedback, then instructing the successful contractor and liaising with site teams for access arrangements
  • Monitoring and arranging statutory compliance testing with contractors and liaising with the site team to gain access
  • Provide training and support to site teams where required
  • Checking due dates of statutory inspections and ensuring these are booked in on time
  • Updating client reports regarding H&S compliance
  • Occasional site inspections to ensure compliance is being met
  • Involved in cost saving and sustainability initiatives
  • Assisting the FM in contract procurement for both stabilised and new developments
  • Support the Estate Manager where required
  • Approving invoices via the finance system relating to reactive maintenance works

  • IT literate with experience of MS Office & other systems
  • Able to handle large volumes of paperwork in an orderly fashion
  • IOSH or IPRM qualified would be desirable

Package

£28,000 + up to 20% discretionary bonus

Working hours – Monday to Friday 9am to 5.30pm (hybrid working model)
25 days holiday + bank holidays
