Office Manager/Administrator

Location: Camberley

Salary: £32-£35,000

My client provides design, supply and installation of all types of mechanical systems to the building services industry. The role of office admin/manager is a critical position within the business and is the day-to-day face or voice & point of contact with all parties both internally & externally.

This role requires the following skills and responsibilities to be able to run & maintain the office and the general functions of the business on a day-to-day basis while looking ahead to minimise any impact.

Responsibilities

  • Provide support to the project & management teams who are based on sites.
  • Document controls duties including the management of both electronic & hard copies of drawings or schedules associated to projects or office.
  • HR duties including completing paperwork for new starters or leavers.
  • Creating & updating spreadsheets for reports, supply chain performance, PPE etc.
  • Preparing folders for director’s meetings, printing necessary documents/drawings as requested.
  • Coordinating the review of company policies and procedures and issue updates to the relevant staff, clients & supply chain.
  • Managing and updating the Business Management Document System including adding/creating documents and keeping the register up to date. Ensuring the Major Projects Filing folder is updated with any relevant new documents.
  • Office supply management & negotiating with suppliers for the best service & costs and then submitting these for final approval (inclusive of sending out supply chain surveys and collating returns for review).
  • Taking accurate meeting minutes & following up on actions points.
  • Assist on new client PQQ’s submittals to allow for timely issuing to new clients or existing clients.
  • Liaise with project teams to track, issue and collate New Sub Contractor registration & periodically review approved contractor list.
  • Take ownership of GDPR & ICO Data Protection officer role within the business (training can be arranged).
  • Liaise with the business park owners in relation to general issues, upkeep of the building/land.
  • Liaise with cleaning company & window cleaner.
  • Assist/lead with company registrations & insurances.
  • Prepare & setup up tender enquiry folders on the internal filing systems & set up secured project folders making sure all relevant personally have access.
  • Monitor & run holiday diary and director diaries.

Ideal Candidate

  • IT skills – Microsoft excel, word, power point and office.
  • Good communication and verbal skills
  • Self-worker and able to prioritise tasks accordingly.
  • Able to work alone at times and part of a team.
