Office Manager

Location: Winchester

Salary: Negotiable, Depending on Experience

To work as an Office Administration Manager providing day to day support for a busy civil and structural engineering consultancy practice.

To contribute to the organisations vision and strategic objective to provide a fully integrated, high quality service to our clients in a friendly, professional manner and to reflect our passion for innovative and sustainable construction.

Main Responsibilities

Control and ensure the smooth running of the office as directed by the Directors.

Answer the telephone promptly, politely and efficiently in a professional manner.

Ensure client requests are communicated promptly to relevant technical staff.

Carry out administrative duties and tasks to support the office.

Order stationary and other office equipment required.

Prepare and collate reports for technical staff.

Prepare and issue invoices, working pro-actively with Project Managers.

Set up new projects on the internal systems as directed by the Project Managers.

Arrange maintenance for the office facilities.

Liaising with external companies to coordinate and manage the companies’ mobile phones and utilities contracts.

Maintain SWH Environmental Management System records for the office.

Complete the office Archiving process as directed by the Project Managers.

Act as H&S officer for the office and complete associated procedures.

Assisting in the recruitment process in keeping records and liaising with the agencies, including manage new starter induction.

Work collaboratively and communicate clearly with colleagues in your office, other Group offices and the other Office Managers

Knowledge, Skills and Experience Required

Experience in an office manager role or would like to step up into an office manager role from an administration role.

Proficient in using a computer with good IT skills.

Experience and proficiency in MS Office packages Outlook/Word/Excel

Good organisational ability with a methodical approach.

Able to work in a fast-paced environment.

Good communication, interpersonal and team working skills. Good verbal and written English

Willing to follow company procedures & ability to learn on the job.
