Salary required £32,000 to £40,000 per annum depending on experience
I’m working with an amazing Company that is an M&E Building Services Consultancy who is looking for a Document Controller with strong administration experience for their office in Kent.
Job Description
Please note that it is also your responsibility to carry out any works not detailed herein to facilitate the smooth running and future expansion of the company and to assist your team members from all departments with their tasks.
Overview of Role To ensure all received drawings are saved on the system appropriately, and the Engineers and DDT are informed of their location.
To ensure drawings and documents are uploaded / issued to the relevant portal / people, correctly and timely.
To maintain the paper drawing folders with our current drawings issued.
To maintain a drawing issue list detailing who and how information is issued for each project, and in what format.
It is also your responsibility to monitor technical submittals and Requests for Information that are received and ensure that we respond by the deadline set.
It is also your responsibility to maintain the comments folders and save, print, and stamp the drawings/documents received and pass to the Engineer to update accordingly.
Responsibilities
Ensure the Drawing Issue Bible is always kept up to date with new projects and any changes to current project requirements.
Ensure drawing folders are kept up to date and in an appropriate order.
Ensuring the correct information is uploaded onto the drawing portals with the correct revision details in line with the client’s portal requirements.
Making sure the title blocks and revision details are correct at the time of issues.
Ensuring Engineers respond to Technical Submittals / RFI’s / Comments within the timescales set.
Ensuring our received drawings folders are up to date with the latest available General Arrangement drawings on the system at all times.
Be aware and take notice of drawings coming into the company and going out of the company.
Maintain a level of confidentiality and discreetness with the Directors.
Understand and adhere to the Company’s standard operating policies and procedures. Be a part of the Company’s Vision and assist in working towards this.
Duties
Issue all drawings and documents via upload sites or e-mail.
Produce and maintain drawing and document issue sheets.
Maintain the Drawing Issue Bible.
Save all incoming General Arrangement, Section and Elevation drawings.
Send a link to Engineers and CAD when new General Arrangement drawings are received.
Save all incoming documents and specifications from the Design Team.
Save all specialist drawings received.
Issue Technical Submittals and maintain a tracking document.
Save all Technical Submittal responses and update the tracking document.
Save all Technical Submittals received for our comment, print and stamp for the Engineer to comment.
Return all commented Technical Submittals as necessary and save the responses on the system.
Issue Requests for Information and maintain a tracking document.
Save all Request for Information responses and update the tracking document.
Save all Requests for Information received for our response, print and stamp for the Engineer to comment.
Return all responded Requests for Information as necessary and save the responses on the system.
Monitor certain portals for updated drawings/RFI’s/RFI responses / Technical Submittals/Technical Submittal responses.
Answering the telephone.
Greeting visitors.
Updating the contact database.
Keeping drawing files up to date.
Check the calendar for meetings to prompt any required drawing file checks prior to the meeting.
Superseding older revisions of drawings.
Collating and saving comments received, both electronically and paper formats.
Returning comments via Engineers.
Printing and scanning as requested.
Assisting Engineers and CAD in obtaining external drawings as required, either via an online portal or contacting other members of the design team to request the information required.
Maintain the white board with project deadlines to focus all staff and allow you to make sure the issues are going ahead as planned.
Fill in for other members of the Administration Team when they are on leave.
Assist other members of the Administration Team when required.
Assist in keeping the office tidy and uncluttered.
Work towards the Company becoming as paperless an office as we can be.
Requirements
Looking for someone who has experience working for a Consultancy or someone who has worked as a Document Controller for multiple projects.
Must have a strong Administration background
Experience working with Document Control projects
