Job Title: Part Time Property Manager (22.5 per week)
Location: London
Salary: £40-50K Pro Rota
A prestigious Property Management Company based in London are looking to recruit a Part Time Property Manager to cover a 1-year maternity contract.
As the Property Manager you will assist the Commercial Portfolio Asset Manager in the running and management of a portfolio of properties.
You will be responsible for ensuring the efficient operation, maintenance, and profitability of each property while providing excellent service to both property owners and tenants.
Key Responsibilities

Work closely, efficiently, and collaboratively with the financial and property teams to ensure the Estate is continually maintained to a high standard to enhance customer service, meeting health and safety compliance and managing identified risks, to create a welcoming and desirable destination where people want to be.

Act as the primary point of contact for tenants, addressing their enquiries, concerns, and maintenance requirements responding promptly and professionally to requests.

Build, manage and enhance strong working relations with all customers, engaging with occupiers, colleagues and service providers; develop effective networking opportunities.

Actively visit and regularly inspect properties

Manage welcome process for new tenants, including collation of welcome pack, keys and other access requirements; meet and greet new tenants when moving in.

Check lease information to ensure data accuracy and occupational compliance; support finance and credit control teams with rent, insurance, and service charge recoveries.

Be actively involved in tenant mix improvements, new letting opportunities and lease renewals negotiations.

Assist in the production, issue and administration of the service charge budgets, active monitoring of all expenditure against all cost codes with the finance team throughout the year to annual reconciliation and the issue of year-end report. Assist with recovery of any recharges and service charge arrears.

Understand the principles of the lease structure and other occupational agreements and their interpretation. Undertake regular liaison with solicitors and agents to provide documents required for new lettings, lease renewals, rent reviews, schedule of dilapidations, licenses to alter (LTAs) and any CPSE responses.

Management and administration of vacant buildings and units through efficient rates and energy management processes to minimise occupational costs.

Collection of turnover and footfall data and further analysis of this information for relevant reports and customer communication.

Monitor and review repair quotes and tenders to ensure that costs are accounted for in financial forecasts and that they are recovered correctly with adequate notice to customers.

Support the managers in the administration of the Estate Management System, checking planning applications and drafting responses.

Consistently work to ensure accurate data management onto Yardi and SharePoint and monitoring and management of the Health and Safety systems. Develop a thorough understanding of Yardi to produce reports when required. Data entry will include commercial valuations, ERVs, and insurance valuations.

Manage renewal of licenses, public consultations, and planning applications, liaising with tenants as required.

Manage agents and contractors, acting as the point of contact with tenants as required

Create POs, authorise and code supplier invoices.
Skills & Knowledge
Essential
-
At least two years’ PM experience in a commercial or mixed-use property environment.

Customer-focused mindset with a commitment to delivering exceptional service.

Strong IT skills being proficient in MS Office, particularly Excel, and property management software.
Desirable
-
Experience using Yardi (property database)

Knowledge of traditional and listed buildings and heritage sites
-
RICS qualified
